About the Team
From handling reservations and booking activities to organizing events, welcoming guests, and providing outstanding Highland hospitality, our Front of House department encompasses both guest-facing and behind-the-scenes roles.
Within the department are our Great Hall Hosts, Reservations, and Switchboard teams, who work seamlessly together and whose dedication ensures an exceptional experience for the Club's 400 members and their guests throughout their stay.
About this Role
As Office Receptionist in our Front of House team, you will:
- Operate the Club's main telephone switchboard, efficiently handling both internal and external calls.
- Act as the first point of contact for external individuals, ensuring all calls are answered promptly and requests directed appropriately, whether this mean assisting guests, transferring calls, or liaising with external contacts.
- Manage incoming and outgoing post and parcels, maintaining accurate records.
- Process remote and in-person payments, ensuring compliance with internal procedures.
- Stay informed about Club operations, including daily arrivals, departures, special events, and activities, allowing you to provide exceptional service and identify opportunities to upsell when appropriate.
- Support the department with general administrative tasks and assist Personal Reservations Assistants and Hosts as needed.
Who We Are Looking For
- You thrive on delivering exceptional customer service by working collaboratively across departments to ensure guest requests are handled efficiently and to the highest standard.
- You're a polite, reliable, and proactive individual with a positive, problem-solving mindset.
- You're an excellent communicator who remains calm under pressure.
- You have strong computer skills (MS Office proficiency is essential; experience with databases or hotel systems is a plus) and confidence in handling general administrative tasks.
- A detail-oriented professional, you maintain a high standard of personal presentation and conduct yourself with courtesy and composure at all times.
- Flexibility and the ability to adapt to varying shifts are essential for this role.
